President
The President may hold office for a maximum of two years and is elected on an annual basis.
Responsibilities Include:
- Leading and managing the business of the User Group to provide clear direction and focus:
- Chairing regularly scheduled committee meetings of the User Group.
- Encouraging a culture which upholds the highest standards of integrity and probity.
- Setting the agenda, style and tone of all discussions to promote fast and effective decision-making and constructive debate.
- Developing and reviewing the User Group business plan, including the review of the agreements with the user group secretariat and conference organisers.
- Ensuring that the Regional Representatives are fully briefed on the requirements of their roles and are actively participating in their roles.
- Overseeing the management of the Secretariat and Conference Organisers.
- Participation in sub-committees and working parties as required.
- Working with the vendor:
- Providing constructive feedback, advice and comments on Talent2 services and products to the vendor.
- Representing the User Group on the Talent2 Alesco Product Board to ensure that the views of the users are taken into account in the development and prioritisation of enhancements to the product.
- Fostering a constructive working relationship between the vendor and members of the User Group.
- Working closely with the vendor, where the vendor solicits or requires advice or support from the User Group.
- Qualifications:
- Having an active interest in Human Resources Information Systems in general and Alesco in particular. A willingness to assist in setting and achieving the user group goals and the ability to devote the time necessary to attend and actively participate in Committee and Product Board meetings.
- Having a professional reputation that enhances the User Group’s reputation and strengthens the role of the Executive in supporting the vision, purpose and values of the User Group.
Vice President
The Vice President may hold office for multiple years and is elected on an annual basis.
The responsibilities of the office include:
- Supporting and assisting the President in the effective operation of the User Group.
- Being a full and active member of the Committee.
- Serving on behalf of the President on any occasion on which the President is unable to participate.
- Assuming the role and duties of the President should the President resign or otherwise be unable to fulfil the Presidential duties.
- Representing the User Group on the Talent2 Alesco Product Board to ensure that the views of the users are taken into account in the development and prioritisation of enhancements to the product.
- Being the key representative between special interest groups within the User Group and the Committee, including negotiating on behalf of the special interest groups and the vendor.
- Qualifications:
- Having an active interest in Human Resources Information Systems in general and Alesco in particular. A willingness to assist in setting and achieving the user group goals and the ability to devote the time necessary to attend and actively participate in Committee and Product Board meetings.
- Having a professional reputation that enhances the User Group’s reputation and strengthens the role of the Executive in supporting the vision, purpose and values of the User Group.
Treasurer
The Treasurer may hold office for multiple years and is elected on an annual basis.
Responsibilities of the office include:
- Maintaining the accounts in conjunction with the Secretariat.
- Being an account signatory to all the User Group accounts.
- Reviewing the annual Conference budget with the Conference Organisers.
- Qualifications:
- Having some experience in the areas of finance, accounting or budgeting
- Having an active interest in Human Resources Information Systems in general and Alesco in particular. A willingness to assist in setting and achieving the user group goals and the ability to devote the time necessary to attend and actively participate in Committee and Product Board meetings.
- Having a professional reputation that enhances the User Group’s reputation and strengthens the role of the Executive in supporting the vision, purpose and values of the User Group.
Regional Representatives
Regional representatives may hold office for multiple years.
Responsibilites of the regional representatives include:
- Scheduling at least two regional meetings per annum, face to face or electronically and providing the meeting schedule to the Secretariat
- Minuting and forwarding of Regional Meetings to Secretariat within two weeks
- Participating in at least 80% of the scheduled management meetings
- Providing a written report of regional activities to the Secretariat no later than 5 working days prior to a scheduled management meeting
- Provide at least one lead per year for newsletter
- Representing their region on the Alesco Product Board
- Availability to attend a maximum of two meetings per year
- Adhering to the Product Board guidelines for engaging their regional community
- Provision of a travel itinerary for approval prior to the meeting
